What you'll be doing
- Screen incoming mail, telephone calls and emails on behalf of the team and
manage all appropriate correspondence
- Maintain accurate and secure paper based/electronic filing systems
- Maintain full confidentiality of sensitive business issues
- Perform ad hoc confidential project work
- Undertake a full range of administrative duties to ensure an efficient service is
delivered to allocated team
- Ensure a relentless focus on Zero Harm and contribute towards observation and
other KPIs
- Support with any induction duties
- Support the work of other Administrators during periods of absence or unexpected high volumes of work activity
- Arrange and attend external team meetings/conferences, take minutes where
required, and ensure appropriate facilities are organised
- Arrange travel and accommodation arrangements in accordance with Policy for
optimum cost saving
- Ensure correct and current templates are used when creating documents
- Undertake multi diary management and plan schedules in diaries to optimise the
working time of allocated team
- Prepare and track personal expenses and other ancillary expenditure
- Be fully conversant in O365 to produce a range of spread sheets, documents and
presentations as required
Who we're looking for
The following qualities/experience are essential:
- Secretarial and/or administrative experience
- Highly organised and able to work on own initiative
- Able to communicate effectively both verbal and written with all levels of the
organisation
- Has experience in working as part of a team and has a desire to help the team
succeed
The following qualities/experience are desirable:
- Experience of working on a variety of project types in a similar role
- Proficient on O365 and Project Control Software
- Holds a current driving license
- Knowledge of the construction industry
